Work Study College Intern

The Office of the City Clerk advances principles of open government and inclusive access through effective facilitation of the legislative process and transparent, accountable stewardship of public information and the official record, including City Council proceedings and legislation. The office manages the City's Boards and Commissions Registry Program; coordinates public records disclosure requests; and provides information technology, administrative and operational support to the Legislative Department.
  We are seeking a motivated undergraduate work study intern to provide support to the Legislative Information Services unit managing official filings and legislative documents for long-term preservation and current public access. Job Responsibilities:
  • Staff public service desk: answer phone and refer or assist callers; asist customers coming in for research or to file documents.
  • Review accuracy of records created by staff in document tracking databases: compare paper or digital documents to the database entries created by staff, ensuring that all relevant identifying information has been recorded correctly. 
  • Digitize (scan) new or historical documents for use or preservation; use a copier/scanner to scan paper documents to PDF; use microfiche scanning equipment and software to scan microfilmed documents; review the resulting files for accuracy and edit them as necessary; name documents according to a given standard; store files in the appropriate physical or digital location. 
  • Gather and prepare paper documents for microfilming, storage, or disposal; retrieve documents (contracts, claims for damages and others, each with its own filing scheme) based on a number of different criteria; store and label them appropriately; report location changes and project progress to other staff. 

    Note:
  • The Interim will be oriented to basic Citywide policies ( ethics,recors retention,etc.) and to the work of the department and unit.
  • The intern will be given detailed instructions on the specific tasks they are to perform.
  • Tasks and projects can vary depending on students' interests and aptitude. 

Minimum Qualifications:

  • Currently enrolled as a full-time undergraduate or graduate student in Washington State with a major concentration in one of the following areas:Public Affairs,Political Science,Information Science/Management,History,Communications,or similar field of study.
  • Currently eligible for Washington State Work Study. Students must provide a letter of eligibility to work in an off-campus job to be considered for employment. 
  • Undergraduate students must maintain a GPA of 2.0 throughout the duration of the internship. Graduate students must maintain a GPA of 3.0 throughout the duration of the internship.
  • Must have a commitment to being a punctual and reliable team member. 
  • Good written and verbal communication skills
  • Basic familiarity with Microsoft Office (Word, Excel, and Outlook).
  • Strong attention to detail
You will be even more prepared for this role if you have:
  • An interest in local government, local history, records management, or information science/information management.
  • Previous experience in an office environment or library.

Work Environment

The Legislative Department is located at the Seattle City Hall: 600 Fourth Ave., Floor 3, Seattle, WA. Alternative Work Arrangements (such as a hybrid schedule) may be considered and will be based on operational needs.

Start/End Dates

The internship is anticipated to start in September 2024. The end date of the internship is conditional on department budget and student award amount.

Schedule

Intern will be scheduled up to 19 hours/week. Work will be scheduled between 8:00 a.m. through 5:00 p.m. Work hours will be flexible to accommodate the intern's academic schedule.

Pay Range

Undergraduate students will be paid $20.94 - $20.94/hour
